Education institutions run on an unusual mix of urgency and permanence. Enrolment periods create sharp, predictable spikes in demand. Student and staff data needs to be protected for years, sometimes decades, after someone has left the institution. And underneath both of these, day-to-day teaching, administration, and research all depend on systems that are expected to simply work, every day, without anyone having to think about them.
Most education IT environments accumulate complexity gradually – a system here, an integration there, a workaround nobody quite remembers the reason for. The honest answer to this question usually isn’t “yes” or “no” – it’s “we’re not sure,” and that uncertainty is itself the problem. Security in education isn’t just about firewalls and access controls, though those matter. It’s about whether the underlying data strategy and architecture was designed with governance and security as a foundation, or bolted on afterward as compliance requirements evolved. Institutions that can answer this question with confidence have usually done the work to find out – a proper assessment, not an assumption.
2. Do our systems talk to each other, or just sit near each other?
Student information systems, learning management platforms, finance, HR, library systems – most institutions run a substantial number of separate platforms, and the question that matters isn’t how many there are, but whether they’re actually integrated.
Disconnected systems create work that shouldn’t exist: manually re-entering the same student data in three places, reconciling enrolment numbers across systems that don’t match, staff maintaining spreadsheets to bridge gaps the systems themselves should be closing. This is rarely anyone’s fault — it’s what happens when systems get added over years without a coherent managed services approach tying them together. The fix isn’t necessarily replacing everything; often it’s building the integration layer that lets what already exists actually function as one environment.
3. Can our infrastructure handle enrolment week without anyone holding their breath?
Every institution has a version of this story – the system that slows to a crawl during peak enrolment, the platform that needs to be watched anxiously during the first weeks of term, the workaround everyone knows about because the real fix never got prioritised.
